Ask for one specific action
“Hi Asha, could you send the updated price list by two this afternoon? I need it for the customer call. Thanks.” This message gives the file, time and purpose. “Please do the needful” gives much less information when the recipient does not know the task.
Use the communication channel your workplace expects. WhatsApp may be convenient for a short update, but a contract, confidential customer record or formal approval may need an approved system. These examples are language practice, not a rule about workplace permissions.
Could you confirm the meeting time, please?
The verb confirm and the object meeting time explain the required action.
Reply with an action and a realistic time
“Yes, I can send the revised file by three.” is more useful than “Okay” when timing matters. If you cannot meet the deadline, state the alternative before the other person relies on your agreement.
“I’m working on the update. I need one more hour to check the totals. Could I send it by four?” explains the delay and asks for a new time. Avoid inventing a reason or promising a deadline you cannot meet.
Send a reminder without making an accusation
“Hi Rahul, following up on the figures for Friday’s presentation. Could you send them by noon, or let me know if the timing has changed?” identifies the earlier task and gives the recipient a way to respond.
Do not use a template to make an unsupported accusation such as “You always ignore me”. If the situation is urgent, say the concrete consequence and ask about the next step. The wording should match the actual relationship and urgency.
The customer call starts at two. Do you have an updated time for the file?
Names the immediate context without claiming to know why the file is delayed.
Check names, dates and private information
Before sending, check the recipient, file name, time and attachment. “Tomorrow morning” may be unclear across time zones; include a day and zone when relevant. If the message says “the report”, make sure the recipient knows which report.
For practice, replace real customer data with invented details. Do not paste passwords, verification codes or confidential work into an AI writing tool. Read an AI rewrite before sending it: it may change your intended promise or tone.

1. Ask a colleague for the revised slides by noon.
Compare an example
Hi Asha, could you send the revised slides by noon, please?
Names the deliverable and timing in one clear request.
A different clear answer can work too. Check the meaning and the pattern.
2. Explain that you can send a draft today but the final file tomorrow.
Compare an example
I can send the draft today and the final file tomorrow morning.
Separates the two deliverables so the recipient does not assume both are ready.
A different clear answer can work too. Check the meaning and the pattern.
3. Ask which report someone means.
Compare an example
Do you mean the weekly sales report or the customer summary?
Offers the relevant choices instead of guessing.
A different clear answer can work too. Check the meaning and the pattern.

1. Try it in your own words
Write a fictional request for a file. Include which file, the needed time and the reason. Do not use confidential workplace details.
2. Compare one useful change
Compare a worked example
This is a fictional example. Keep your own facts and experience.
First attempt: Please send that ASAP. Do the needful.
Clearer version: Hi Asha, could you send the revised slides by noon today? I need them for the two o’clock review. If noon is difficult, please let me know a realistic time.
The recipient knows which file, when it is needed and how to respond if the timing cannot work. Politeness does not replace clear instructions.
3. Change the situation
The colleague cannot meet the deadline. Reply with a smaller deliverable or a revised time instead of repeating “urgent”.
A clear answer can be different from the example. Use the checks to decide what to improve.

Common questions
Must I use formal words in every work message?
No. Clear, polite wording that fits the workplace is usually more useful than complicated vocabulary. Follow your team’s communication conventions.
Is “please” enough to make a request clear?
Please adds politeness, but you still need to name the action and any important timing or context.
